By-Laws
Article I
Name
The name of this organization shall be SUN LAKES LADIES' GOLF ASSOCIATION hereafter referred to as "The Association".
Article II
Object
The purpose of the Association shall be to promote interest in golf and the activities connected therewith, and to promote courtesy and sportsmanship of the game of golf.
Article III
Membership
Section1: Individual 18 hole golf membership in the Association shall be open to any woman who lives in Sun Lakes Country Club or who is an Associate Member and they are entitled to full privileges.
Section 2 To qualify as an 18 hole golfing member in Sun Lakes Country Club, a potential member must meet one of the following conditions:
Must have submitted five (3) attested 18 hole cards played on the Sun Lakes golf course within the last 60 days, together with her annual dues.
or
Has submitted a current USGA Handicap Card. The Pro will handle the conversion of the
handicap to a Sun Lakes handicap. The potential member will also give her annual dues to the pro or place them in the box. (The date membership begins is the date the new member is assigned a computer identification number.)
Section 3: Social members must have previously golfed in the Sun Lakes Ladies 18 Hole Golf Association. Social members are not eligible to vote.
Article IV
Officers and Executive Board
Section 1: There shall be an Executive Board of the Association consisting of a President, a Vice President, a Secretary, a Treasurer, a Tournament Chairman and a Social Chairman. Any of these positions on the Executive Board can be a shared position as a co officer which must be elected together. The Tournament Chairman the Social Chairman shall be appointed by the President.
No member shall hold more than one office at a time. Members of the Board shall serve without compensation for their services.
Section 2: Should the office of the President become vacant, the Vice President shall succeed. If the Vice President is unable to fill the position, the Executive Board will appoint an interim President to serve until the next election or until the President is able to return. A vacancy of any other Executive Board member shall be filled by appointment by the President with the approval of the Executive Board.
Section 3: Newly elected officers shall be installed at the regular meeting in December and assume office effective January 1; their term to run through December 31 of the upcoming year.
Sun Lakes Ladies Golf Association By Laws
Section 4: No member shall be eligible to the Executive Board until she has been a member of the Association for one year prior to the election.
Section 5: Election of officers will rotate to facilitate continuity. Odd numbered years will elect a President and Treasurer for a two year term. Even numbered years will elect a Vice President and Secretary for a two year term. If any officer us unable to serve a two year term, a new officer will be elected.
Article V
Finances and Dues
Section 1: Each year the Executive Board shall adopt an operating budget.
Section 2: Dues shall become due and payable December 15 and shall be delinquent after December 15 at which time a five dollar ($5.00) fine will be imposed. The Association dues will not be prorated.
Article VI
Duties of Officer and the Executive Board
At the beginning of her term, each member of the Executive Board shall be given a copy of these By-Laws and shall be responsible for making a thorough study of them.
Section 1: The President shall preside at and call meetings of the Association and the Executive Board and shall be an ex-officio member of all committees except the Nominating Committee. She shall have the power to appoint standing and special committees,
Section 2: The Vice President shall in the absence or inability of the President to act, have and perform the powers herein prescribed for the President. The Vice President shall serve as the chair of the Awards Committee. The Vice President shall perform duties prescribed by the President.
Section 3: The Secretary shall keep full and complete minutes of all meetings of the Executive Board and attend to all correspondence. She shall perform such duties as the Executive Board from time to time authorizes and prescribes. She shall compile and maintain a list of names and/or addresses, and phone numbers of members. She shall have available for reference at all meetings, a copy of the Association By-Laws, Standing Rules and the Association’s yearly handbook. She shall post minutes of each regular or special meeting on the bulletin board in the handicap room as soon as possible after each meeting.
Section 4: The treasurer shall receive all money, issue and sign checks on the funds of the Association. The Treasurer shall provide a monthly statement of all revenue and expenses to the Executive Board. The Treasurer and one other Board Member shall be approved to sign checks. (Only one signature is necessary on said check.) An audit or review shall be performed annually. The Treasurer will post a monthly statement in the handicap room.
Section 5: The Tournament Chairman must present an annual calendar of all weekly events and competitions for the approval of the Executive Board. She shall plan and conduct all weekly events and competitions with the exception of major tournaments and special events which will have a special chairman responsible for such events.
Section 6: The Social Chairman will facilitate lunches or snacks as designated by the Executive Board when not assigned to a specific party.
Article VII
Meetings
Section 1: The regular meetings of the Association shall be held on the second Tuesday of
each month from January to May and October to December unless otherwise ordered by the Executive Board.
Section 3: Meetings of the Executive Board shall be held once a month at the discretion of the President. She may also, if she so desires, call other Board Meetings at any time.
Section 4: Twenty five percent of the members shall constitute a quorum for regular meetings.

Nominating Committee and Elections
Section 1: A Nominating Committee Chairman shall be appointed in May by the President. the
Nominating Committee Chairman will ask two other members to work on the committee and they shall submit a slate of officers at the October meeting. A list of nominees shall be posted on the bulletin board in the handicap room one week prior to the November meeting. Nominations from the floor for each office will also be made at the October meeting.
Section 2: At the November meeting, elections will be held. At this time, election of officers will be made by acclamation or by ballot vote.
Section 3: Absentee ballots shall be provided at the request of the member. They may be obtained from the Nominating Committee and must be filed with the Nominating Committee Chairman one week prior to the election.
Section 4: Only members of the Nominating Committee will count ballots. Any member may be present at the counting. Ballots will be kept by the Chairman of the Nominating Committee for one week after the election.
Article IX
Parliamentary Authority
The rules contained in the current edition of Robert’s Rules of Order, Newly Revised shall govern the Association in all cases to which they are applicable and in which they are not in conflict with these By-Laws or Standing Rules of the Association.
Article X
These By-Laws may be amended at any regular business meeting of the association by two thirds (2/3) of the votes cast, provided that the amendment(s) has (have) been submitted in writing and presented at the previous regular meeting and posted on the bulletin board immediately following said previous meeting and provided a quorum is present. A quorum for the purpose of Amendment of By-Laws shall be by 25% of the membership.
